POSITION SUMMARY

The Mortgage Loan Coordinator supports the funding team with document management, data entry and mortgage registrations. Acting as a key partner with Legal partners to ensure mortgage registrations and legal fee invoicing is completed in a timely manner.

MAJOR ELEMENTS OF THE ROLE

Key accountabilities of this position include:

1. Mortgage Registration & Communication

  • Manage inbound and outbound calls and emails with external parties regarding mortgage registration.

  • Ensure timely follow-ups to facilitate accurate registration of HEB mortgages on title post-funding.

  • Track outstanding registration items and proactively drive resolution.

  • Escalate unresolved or complex mortgage registration issues to management for review.

2. Final Legal Package (FLP) Management

  • Review and process Final Legal Packages (FLP) in MARS.

3. Funding Team Support

  • Obtain signed mortgage and legal documents from the funding team.

  • Organize and upload documents accurately into MARS for review by the Mortgage Fulfillment Officer (MFO) prior to funding.

  • Extract documents from legal packages and categorize them correctly within the system.

  • Add Notes in the system as required, to assist the Funding Team.

4. Accounting – Legal Fees & Invoices

  • Review accounting reports and reconcile legal fees post-funding.

  • Amend legal fees in MARS as required.

  • Review and process all invoices received from legal partners.

  • Submit invoices through Workday Concur (or equivalent system) for manage.

SKILLS AND EXPERIENCE REQUIRED

  • University degree or Community College diploma or equivalent work experience.

  • Basic understanding of the financial services environment.

  • Strong communication and interpersonal skills.

  • Organized with the ability to manage multiple tasks and priorities.

  • Comfortable working both independently and as part of a team.

  • Adaptable and eager to learn in a fast-paced environment.

  • Proactive with a willingness to take initiative.

  • Basic proficiency in Microsoft Office and ability to learn new systems quickly.

  • Customer-focused with strong relationship-building skills.

  • Bilingualism (French, oral and written) is an asset.
